How do you learn a new tool or software quickly when assigned a task that requires it?

Situation

A client asked me to create a complex project dashboard in Notion when I had only used it for basic note-taking. They needed a full client-portal system within 5 days to onboard a new enterprise customer.

Task

I had to learn Notion's database features, relational columns, and sharing permissions fast enough to build a functional, professional dashboard without missing the deadline.

Action

I broke the tool down into the specific features needed: linked databases, filtered views, and embedded files. I watched 3 Notion YouTube tutorials focused on databases, twice each while taking notes in a Google Doc. I then built a sandbox prototype based on the client's old Excel tracker, improving it with a cleaner layout. I shared the prototype with the client on day 3, annotated with comments asking if the workflow met their needs, which sparked a 15-minute feedback call that saved me from building unnecessary sections. I also dedicated 1 hour each morning to hands-on practice before client-facing work, using mock data.

Result

I delivered the fully functional dashboard on day 5 with 3 different user-level views. The client was able to present it immediately to their new customer, who praised the transparency.
