At 7:15 AM, the supplier still hadn't arrived. I called them and discovered their delivery truck had broken down and they estimated another two hours. I immediately contacted a classmate who owned a portable photography backdrop stand and a plain black cloth, and asked if we could borrow it. While that was being delivered, I briefed the event host to adjust the program flow to start with a networking session instead of the opening photo op. I also asked one volunteer to create a simple branded digital signage on a laptop to display temporarily. The original supplier eventually arrived at 9 AM, but by then, the backup was in place and the event had already started smoothly.

Result

The event proceeded with only a minor delay in the formal photo session. Attendees didn't notice the switch, and the organizing team praised the quick thinking. The original supplier later gave a discount on the fee for the inconvenience.
