Situation

As a General Admin Virtual Assistant for a US real estate client, my client gave me three urgent tasks one Monday morning: input 50 new leads into the CRM, schedule social media posts for the week, and prepare a property presentation for a showing the next day. All were needed by end of day, Eastern Time.

Task

I had to prioritize these tasks so nothing slipped, while keeping the client updated on progress.

Action

I opened my Google Sheets tracker and listed each task with estimated time. I flagged that the presentation was time-sensitive because the showing was the next day, so I started with that first. I used the client's Canva templates to build the presentation, which took about 2 hours. Then I moved to lead entry: I batch-typed data from a Google Form into their HubSpot CRM, which took 3 hours. For the social media posts, I used Buffer to schedule them ahead, which only took 1 hour. Throughout the day, I sent quick Slack updates: 'Presentation done, now entering leads, ETA 2 hours.'

Result

The client had the presentation ready by noon their time, the leads were fully entered before 4pm, and the social posts went live on schedule. The client said she appreciated the proactive updates and asked me to continue managing her task list weekly.
